# How do I track AI costs in QuickBooks Online?

**To track AI costs in QuickBooks Online, create a dedicated AI services expense account, turn on Classes to tag each line with the department whose agents consumed the spend, use Customers or Projects for client-billable usage, book metered usage as a month-end journal entry, and enter the provider bill against the accrual when it arrives.** QBO has everything needed; the work is deciding the structure before the first bill.

## Set up the structure once

1. **Chart of Accounts.** Add an expense account "AI Services." If volume justifies it, add sub-accounts: "Model inference," "Agent tools," "AI subscriptions." Add a current liability "Accrued AI Services."
2. **Classes.** Enable class tracking (Settings → Advanced) and create one class per department that runs agents. Set "one class per transaction line" so a single journal entry can hit several departments.
3. **Customers and Projects.** If agents do client work, tag usage to the Customer or Project so it can be invoiced or at least reported by client.
4. **Vendors.** One vendor per provider (OpenAI, Anthropic, Google, your gateway). Attach the rate card to the vendor record as a note.
5. **Products and Services** (optional). If you bill clients for AI usage, create a service item "AI usage" mapped to an income account so it appears on their invoices.

## The monthly cycle

**Step 1, month end: accrue metered usage.** Journal entry: debit AI Services by class, credit Accrued AI Services.

**Step 2, bill arrives: enter the bill.** Enter the vendor bill coded to AI Services. Then post a reversing journal entry for the accrual, or use QBO's reversing-entry option when creating the accrual so it auto-reverses on the first of the next month.

**Step 3, true-up.** The difference between accrual and bill stays in AI Services, split by class in proportion to the accrual.

## Worked example

September metered usage: $1,900 total. Marketing (class) $1,100, Operations $800. Provider bill arrives October 5 for $1,940.

**September 30 journal entry (set to reverse October 1)**

Net September expense booked: $1,900 (accrual). Net October expense: $40 (true-up), split $23.16 / $16.84 to match the accrual.

## Reports that then work

- **Profit and Loss by Class** shows AI Services per department.
- **Transaction Detail by Account** on AI Services gives the audit trail.
- **Unbilled charges by Customer** if usage is tagged to clients.

## Limits to know

QBO classes are one dimension. If you need department and project and agent, use Class for department, Customer/Project for the client, and put the agent name in the line description or memo so it is searchable. Journal entries can be imported from a CSV or posted through the QBO API, which is how a metering system hands the accrual to the books each month.
