Month-end close

Short answer. Confirm each vendor invoice for the month, clear unattributed spend, keep idle capacity separate, then lock the chargeback month and post it from that locked month.

The invoice is the total

For each vendor bill, open Add billing data. Set the billing period to the month you are closing. The period starts as the calendar month before the invoice date, and you can change it. Check I confirm this billing period.

That invoice is the total for the vendor and the period. Usage already measured stays attributed and is scaled to the invoice. Taxes, fees, seats, and credits are their own lines. A likely duplicate asks you to replace the existing upload or add it as a separate invoice. See A surprise invoice.

A total is Settled only when the month has ended and every row in it is reconciled or invoiced. Until then it is an Estimate.

Unattributed and idle

On Dashboard, read "N% of spend still open" and Unattributed — open inbox →. Assign those rows on Agents & allocation → Unattributed, or add a rule that matches vendor or model. A rule does not move spend that already names an agent. Unassigned dollars still post, on unallocated (suspense), so the month balances.

Idle capacity, the "Nobody used it" card, is paid private-inference capacity that sat unused. Do not add it to the unattributed figure. Price it on Rate cards and read the pool period before you treat it as someone's spend.

Lock and post

On Chargeback, preview the month. Finish the allocation so the period is saved, then lock it. An open month asks you to confirm with "I understand — lock this open month early."

QuickBooks stays on "No locked chargeback periods" until a month is locked. Posting is manual. Someone clicks Post to QuickBooks for that locked month.

Business Central says "Direct posting to Business Central isn't available yet." Export the journal and post it in Business Central. The same "No locked chargeback periods" sentence means lock the month first.

Chargeback is included with Meridian. When the controls are not available, the page says "Chargeback and GL export are included with Meridian."
